Terms of Service

Last updated October 28, 2026

Version 2026-11. Draft prepared for review by counsel before launch; edit this article from Admin → User Guide.

1. The service

SONAN DIGITAL ("we") provides SONAN CRM, a hosted business management platform ("the Service"). A "Workspace" is a private tenant created for an organisation ("Customer"); "Users" are people the Customer invites into its Workspace.

2. Accounts and responsibilities

The person who creates a Workspace confirms they are authorised to bind the Customer to these terms. Customers are responsible for their Users, for keeping credentials confidential, for enabling multi-factor authentication where appropriate, and for the lawfulness of the data they store.

3. Plans, trials and payment

Workspaces start on a free trial of the selected plan. Paid plans are billed in advance per billing period through our payment processor. Limits (seats, clients, modules) follow the plan. If a payment fails we retry and keep the Workspace available for a grace period, after which it becomes read-only until payment is resolved. Fees are non-refundable except where required by law.

4. Customer data

Customer data belongs to the Customer. We process it only to provide, secure and support the Service, and as described in the Privacy Policy. Workspaces are isolated by database policy. Customers may export their data at any time from Reports or by requesting a full export; on termination the Workspace is purged after a grace period, during which the deletion can be cancelled.

5. Payments to Customers

Card payments collected by a Customer from its own clients run on the Customer's connected payment account; we are not party to those transactions and may charge a platform fee disclosed in the Workspace settings.

6. Acceptable use

No unlawful content, no interference with the Service or other Workspaces, no attempts to access data you are not entitled to, no reselling of the Service without written agreement. We may suspend a Workspace that violates these terms after notice where practical.

7. Availability and support

We aim for high availability but do not guarantee uninterrupted service. Planned maintenance is announced where possible. Support is provided through the in-app Support menu during business hours.

8. Confidentiality and security

Each party keeps the other's non-public information confidential. We apply industry-standard safeguards (encryption in transit and at rest, role-based access, audit logging). Platform staff access a Workspace only for support, in time-boxed sessions recorded in the Workspace's audit log.

9. Liability

To the extent permitted by law, the Service is provided "as is"; our aggregate liability for any claim is limited to the fees paid by the Customer in the twelve months before the claim; neither party is liable for indirect or consequential loss.

10. Termination

Customers may cancel at any time from Billing; access continues to the end of the paid period. We may terminate for material breach or non-payment. Sections 4, 8 and 9 survive termination.

11. Changes and law

We may update these terms with notice in the application; continued use after the effective date is acceptance. These terms are governed by the laws of the State of Texas, USA, and disputes are brought in its courts.
